This role is responsible foroverseeing and supporting the effective delivery of WorkplaceExperience Services and user experience by understanding, assessingand evaluating the needs of staff and guests alike.
WorkplaceExperience Specialist acts as Building Ambassador at site level andshould drive continued development and adaptation of all WorkplaceServices resulting in enhanced end user satisfaction and workplaceexperience for client staff and guests alike.
What is your dayto day? Governance & General ManagementEnsures compliancewith SOPs for all Workplace Experience contracted services, identifiesand includes all variations applicable per site.
Ensures compliancewith client standardized processes, policies and procedures by allparties executing services on behalf of client.
Support annualdevelopment of Country Plan and execute Customer Experience projects &programs assigned.
Provides visibility of opportunities inprocesses and programs for improvements.
Participate and be engagedwith IFM meeting cadence (operational, strategic and best practiceforums) Reporting
Provide operational service reporting on amonthly, quarterly and annual basis.
Ensure information reported isaccurate with client systems information. Advise of any data issues toaddress data accuracy.
Provide insights to GWS of how staff areusing the space, Support periodic Workplace Experience feedbackopportunities to gain insights and provide a continuous feedback loopas to staff sentiment
Provide feedback and insights as tobehavioral trends and opportunities to enhance experience andworkplace effectiveness. Sourcing & Procurement
Supportssourcing, selection, contracting and management of Tier Two providers,related to Workplace Experience
Onboard and train Tier TwoProviders as may be required. Supplier Performance
Validatesall provider invoices related to soft services submitted for paymentare appropriate and consistent with client expenditure authorizationlimits and compliance guidelines.
In coordination with WorkplaceManager, measure and track vendor performance against pre-defined setof success criteria and contract obligations utilizing metrics andKPIs where applicable.
Manages T2 vendor relationship to ensureadequate service delivery. Financial ManagementEnsurecontractually correct and timely payment of Tier One and Tier TwoProvider invoices/invoice processing (per agreed term) submitted toclient Accounts Payable.
Ensure invoices are correctly prepared byvendors. Client Relationship ManagementActs in alignmentwith local CRM Strategy.
Ensure the best experience for our clients(internal and external). Marketing & Communications
Supportsthe execution of Key Activities Calendar under Workplace ExperienceSpecialist responsibility. EnvironmentalSustainability
Support in coordination with Workplace Manager andEngineering team to plan and execute activities related toenvironmental sustainability. Reception
Manages receptionistservices for client locations. Services shall utilize global bestpractices to assure that interactions result in the highest possiblelevel of professionalism, responsiveness and satisfaction. Adapts, asmay be needed, for local/regional customs/practices.
Implementsclient Programs related to service.
Manage REF support resourceactivities. Office Supplies & Shipping and receiving (CourierServices)
Manages the purchase, receipt, storage and issue/returnoffice supplies in compliance with applicable programs andprocedures.
Manages shipping and receiving services at assignedproperties.
Ensures mail collection and distribution services areprovided within and between designated client properties in a safe,efficient, and cost-effective manner.
Manages mail Courier andExpress Courier services within and between designated properties andto/from local post office including delivery of client business mail,parcels, documents, interoffice mail and any other items to bedelivered to client sites.
