    Business Need / Purpose of Role


    The
    Operations Representative (Boarding Agent) reporting to Operations Manager is responsible for providing logistics service to our Principals to ensure the safe and smooth turnaround of all appointed vessels within the jurisdiction of the port office, managing vessel requirements, procurement of relevant vendor services, and undertaking vessel boarding as required.

    The Operations Representative performs office and non-manual work assisting Inchcape in the running and servicing Inchcape's 24-hours-a-day, 7-days-a-week on-call services commitments to its Principals.


    Objectives & Measurement - Key Responsibilities

    • Clears vessels in and out of the Port by dealing with relevant Port and Government officials, completing all required official documents and board vessels to sort any issue when required by the ship's operator.
    • Build and maintain effective formal and informal links with the relevant Officials and Port Authorities.
    • Maintain operational files and documentation duly stored and easily accessible following ISS procedures and Policies.
    • Ensure that relevant authorities & client are updated on a daily basis with respect to vessel movements (minimum requirement).
    • Upload arrival, berthing, daily work, cargo details, unberthing and sailing data into POPDA within the time frame.
    • Visit the vessel as per schedule provided by Ship's Operator.
    • Verify with Master all their needs while in port.
    • Ensure all matters pertaining to crew and vessel are attended timely
    • Review and verify that documentation requirements for all shipments are as per customs clearance procedures providing smooth and timely clearance process.
    • Promote and Sell onboard all the available ISS's services and products as well as services provided by our selected vendors.
    • Inform the Ship's Operator about all enquire from the vessel for them to arrange and confirm.
    • Verify with Master the ETC/ETS and report to Ship's Operator.
    • Attend Port meetings and customer's visits to the port when requested.
    • Promote with master the use ISS Worldwide sending them the details of our coverage (based on next port) when requested.
    • Utilize New YourISS* as per Standard Operating Procedures
    • Ensure accurate and effective operational and commercial information flow into New YourISS*
      Knowledge, Skills, and Abilities
    • Prior agency experience, preferred.
    • Ability to fluently speak, read, and write in clear English
    • Prior customer service experience, required, Cruise Line (tourism/visitor) industry a plus.
    • A foundational knowledge of Port Operations.
    • Competent user of the Microsoft Office suite including Outlook, Excel and Word.
    • Balance multiple tasks, changing priorities & operate within a deadlineoriented environment.

    Education, Qualifications, Certifications, and Licenses

    Education/Experience:


    • High School diploma or GED equivalent required.
    • Bachelor's degree in Maritime Administration, Business Administration, or related major from a public or accredited private academic institution desired.
    • 04 years' experience in general maritime industry with exposure to various commodities and vessel types utilized in the port of employment.
