    What We're Looking For

    As the Vendor Onboarding Specialist, you will be an integral part of the vendor management team, responsible for efficiently and accurately managing the onboarding and data maintenance processes for our vendors. Reporting to the Vendor Onboarding Supervisor, you will play a crucial role in ensuring that vendor information is collected, verified, and maintained in accordance with company policies and regulatory requirements. Your attention to detail, strong organizational skills, and ability to collaborate effectively will contribute to the success of the vendor management function.

    What You'll Do

  • Assist in the onboarding of new vendors, collecting required documentation, verifying vendor information, and ensuring compliance with company policies and regulatory requirements.
  • Maintain vendor records and updates within the Coupa Supplier Information Management (SIM) module and Netsuite ERP system, ensuring accuracy and completeness of data at all times.
  • Communicate with vendors to gather necessary information, resolve inquiries, and facilitate the onboarding process in a timely and professional manner.
  • Collaborate with internal stakeholders, including procurement, finance, and legal teams, to facilitate the timely approval and activation of new vendors.
  • Assist in the review and validation of vendor contracts, insurance certificates, and other required documentation to ensure compliance with contractual agreements and regulatory obligations.
  • Conduct regular audits of vendor records and data to identify and address inaccuracies, duplications, or inconsistencies.
  • Support the Vendor Onboarding Supervisor in the development and maintenance of standard operating procedures (SOPs) for vendor onboarding and data management processes.
  • Assist with special projects and initiatives aimed at improving vendor management processes, systems, and tools.
  • Stay informed about industry trends, best practices, and regulatory changes related to vendor management and onboarding processes.
  • The Skills You'll Need

  • Bachelor's degree in business administration, finance, accounting, or related field, or equivalent work experience.
  • Previous experience (1-3 years) in vendor management, vendor onboarding, or related roles, preferably in a corporate environment.
  • Experience with vendor management systems (, Coupa SIM) and ERP systems (, Netsuite), with proficiency in data entry and system navigation.
  • Familiarity with regulatory requirements related to vendor management, such as anti-bribery laws, data privacy regulations, and Know Your Customer (KYC) requirements, is preferred.
  • Strong understanding of vendor management principles, processes, and best practices.
  • Proficiency in accounting software and Microsoft Office Suite, particularly Excel.
  • Excellent communication and interpersonal skills, with the ability to interact effectively with internal and external stakeholders.
  • Detail-oriented with strong analytical and problem-solving abilities.
  • Ability to prioritize tasks, meet deadlines, and manage multiple priorities in a fast-paced environment.
  • Experience with process improvement initiatives and automation tools is a plus.
